How do I add a fuel surcharge to the web reservation system?

NOTE: This information is for the web-based reservation system. For directions on adding a fuel surcharge to the local office system (HWeb Agent), please click HERE and you will be taken to the appropriate article.

There are two ways to add a fuel surcharge to the web based system. One is to make it a fixed dollar value per reservation that will be applied to ALL SERVICE TYPES (Option A below). The other is to make it a Service Surcharge, which can be set to a percentage of your fare, and may be applied to selected service types, or all service types (Option B below).

OPTION A
Adding a fuel surcharge to the Hudson Web reservation system is quick and simple. There are two basic steps:

  1. Establish the surcharge value in the General Configuration
  2. Enable the surcharge for the desired service types

Establish the surcharge value

  1. Login to the online web reservation utility.
  2. Click the General Configuration link under the Configuration Column.
  3. Locate the section titled: Service Extras Surcharges
  4. In the Fuel/miscellaneous field, enter the surcharge dollar value (ex: 2.5, 10, 15, etc.)
  5. Scroll to the bottom of the page and click the SUBMIT button

Enable the surcharge for the desired service types.

  1. From the main utility menu, slect Service Configuration (1-3)
  2. Locate the row labled: Service Extras included in fare calculation.
  3. For each of the services you wish to apply the surcharge to, set this row value to YES
  4. Scroll to the bottom of the page and click the UPDATE button.
  5. Repeat steps 1-4 above for each of the other Service Configuration screens where you wish to apply the fuel surcharge.

OPTION B

Enable the surcharge for the desired service types.
  1. From the main utility menu, slect Service Configuration (1-3)
  2. Locate the row labled: Service surcharge charge type
  3. For the services you wish to apply the surcharge to, select the manner in which the surcharge is to be calculated:
    1. None
    2. Fixed: Applies the surcharge value to each reservation, regardless of passenger count.
    3. Fixed per Passenger: Applies the surcharge value to each passenger on the reservation.
    4. Percent: Applies the surcharge value as a percentage of the base fare.
    5. Percent (rounded): Same as number 3 above, but rounds the surcharge value to the nearest whole dollar amount.
    6. Percent (rounded up): Same as number 3 above, but rounds the surcharge value up to the next highest whole dollar amount..
  4. Locate the next row labled Service surcharge. Enter the number value of the surcharge. DO NOT include $, %, or other symbols.
  5. Scroll to the bottom of the page and click the UPDATE button.
  6. Repeat steps 1-4 above for each of the other Service Configuration screens where you wish to apply the fuel surcharge.
