Enabling and Configuring Terms and Conditions

When your clients are placing reservations on your web reservation system, you may want to make available to them your terms and conditions, cancellation or refund polices, etc.  You may even want to require them to be exposed to these before they can complete the booking process.   Hudson's HWeb Reservation Manager (version 2.64) now allows you to enable, and configure this process.

Setting up the Terms and
Login to your online Web Reservation system utility page
Locate and select the "Custom Configuration" section
On the Custom Configuration page, locate the section labeled:

Dynamic field descriptions with error string option

If the field is blank, the item is not displayed on the page. If the error message is defined, the field is a required entry field for the user.

Within this section locate the field labled:

Insert the Terms and Conditions text, along with html formatting parameters,  into the Terms and conditions field.  It may be easier to type the text on a generic word processor and then paste the contents into the field as you will only be able to see two lines of text at a time on the Custom Configuration page. ** (The insertion of text into this field automatically "enables" or turns on this feature.  By deleting all text in the field, the feature will be disabled,) For Example:

<FONT SIZE=2><b>Terms and Conditions</b></font><br>(Please check box to agree to payment terms.)<br><FONT COLOR=#CC0000>Payment is due at the time of travel.</font>

Terms & conditions Error field:
If you insert text into the "Error" field to the immediate right of Terms and Conditions, this will force or require the client to review the information and place a check mark (tick the box) to indicate their acceptance of your terms and conditions.  Leaving the field blank / empty, makes this an optional step.

The end result of the enabling and configuration entered above, looks like this (on the Payment Information section of your web reservation system):

** Other examples of Terms and Conditions text that yields different results.

In this first example, you create a page on your company website that has all your terms, conditions and policies.  When clients are placing a web reservation, they will be taken to that page to review your terms before they are required to accept them and continue.

<FONT SIZE=2><B>I have read and accept the terms and conditions.  (please check the box to continue)</FONT><BR>  <FONT FACE=ARIAL COLOR=#666666 SIZE=1>  <a href="javascript: void(0)"   onclick="window.open('http://www.yourcompany.com/policies.html','terms','width=800,height=700,top=100,left=50,screenX=1,screenY=1,scrollbars=yes,resizable=yes');"></FONT>  <FONT SIZE=1 color=#FF0000>(Terms and Conditions)</a></FONT>

Here is another option. In this situation, Hudson maintains an html page on our server, which contains all of your terms, conditions and policies.  This option may be better for companies that do not have a policies page on their marketing website, or have limited access to their website contents.

<B>I have read and accept the terms and conditions. </B><br>  (please check the box to continue)<BR>   <FONT COLOR=#666666 SIZE=1>  <a href="javascript: void(0)"   onclick="window.open('http://www.hudsonltd.com/copages/companynameterms.htm','terms','width=800,height=700,top=100,left=50,screenX=1,screenY=1,scrollbars=yes,resizable=yes');">  </FONT> <FONT SIZE=1 color=#FF0000>(Terms and Conditions)</a></FONT>
